Fees, Space Assignment and Point Allocation

Booth Fees

Exhibit booths are each 10’ x 10’ (100 square feet) or multiples of 100 sq. feet.

On or before May 16, 2005
Corporate members*: $2,400 per 10’ x 10’ booth
Non-members: $2,800 per 10’x10’ booth

On or after May 17, 2005
Corporate members*: $2,600 per 10’ x 10’ booth
Non-members: $3,000 per 10’x10’ booth

Corner Surcharge - $500.00 per corner (i.e. an island has four corners, a corner booth has one corner and an inline booth has no corners).

*Corporate membership must be current at the time of the conference to take advantage of the corporate member rate.

Space Assignment

Booth assignments and appointments are made on the basis of application receipt date and an exhibitor point system. To view the current floor plan that shows current confirmed exhibitors, go to www.himss.org.

Booth Cancellations

  • Booth cancellations received on or before May 16, 2005, will be charged a penalty equal to 50% of the total cost of the booth.
  • Booth cancellations received from May 17, 2005 until October 17, 2005 will be charged a penalty equal to 75% of the total cost of the booth.
  • Booth cancellations received on or after October 17, 2005 will be charged a penalty equal to 100% of the total cost of the booth.

Booth Reductions

  • Booth size reductions received on or before May 16, 2005 will be penalized 50% of the total booth space released.
  • Booth size reductions received on or after May 17, 2005 will be penalized 100% of the total booth space released. Booth size reductions may result in a change in booth location.

Note: Companies that consolidate multiple booths will be charged a 10% fee on funds transferred from one reserved booth to another.

Eligibility to Exhibit

HIMSS determines the eligibility of any company or product to be exhibited at the exposition either before or after the proper execution of the contract. The policies, rules and regulations stated in this prospectus constitute a bona fide part of the contract for exhibit space.

Exhibitor Points

Points are earned through continuing participation at the Annual HIMSS Conference & Exhibition or other HIMSS professional education programs.

  • 10 points for applications received on or before May 16, 2005
  • 5 points for applications received between May 17 and August 22, 2005
  • 10 points for populating your data in the Conference Exhibitor Guide before October 14, 2005
  • 5 points for populating your data in the Conference Exhibitor Guide between October 15 and December 16, 2005
  • 15 points for 50% payment of exhibit space on or before April 11, 2005
  • 15 points for full payment of exhibit space prior to September 19, 2005
  • 1 point for each 100 square feet of booth space rented at any HIMSS conference in 2005
  • 10 points for companies that confirm hotel room needs with our official housing contractor prior to October 14, 2005
  • 5 points for companies that confirm hotel room needs with our official housing contractor between October 15 and December 16, 2005
  • 1 point for each $2,500 in sponsorship
  • 4 points for completion of the exhibitor evaluation

Additional points are awarded to exhibitors who:

  • Sponsors events or program as outlined in the Marketing Opportunities Brochure – 1 point for each $2,500 in sponsorship
  • Corporate Membership – doubles points for Platinum and Diamond member on select items during the year

Please note: Exhibitor points are cumulative and carried from one participating year to the next. Failure to exhibit in a given year resets exhibitor point total to zero. Waitlisted exhibitors do not lose points if unable to clear waitlist.

Items that earn points as well as the number of points given for any particular item are subject to change from year to year.

When companies are acquired, merged or consolidated, HIMSS will use the points from the company with the greatest amount accumulated. Points will not be consolidated.
